Updating the Chart Visibility of Existing Chart Entries

Am I the only one who can view my chart entries, or can other practitioners at my clinic also view them? How can I change who can view my chart(s)?

These are important questions to ask ourselves as charting regulations are constantly changing while clinics transition to electronic health records.

With that in mind, we recommend heading over to Chart Privacy options for a full description of Charting Privacy at Jane.

In the meantime, should a staff member need to change their chart visibility settings of their existing charts, they have 2 ways to accomplish this now!

1. Change the Chart Visibility of an Individual Chart Entry

This option is great if you only have a few charts to update!

At the bottom of every chart, the chart visibility is displayed.

The chart author can update this setting on a draft or signed chart entry to ensure privacy compliance. There are typically 2-3 different options to choose from including Viewable by Everyone, Viewable by [Chart Author], or Viewable by [other staff in your discipline].

2. Change the Chart Visibility of Multiple Chart Entries

You may have several dozen charts to update, and so changing each chart one by one may get a little tedious! This is why we have now made it possible for Chart Authors to be able to update multiple charts in their Staff Profile.

By going to Staff > Practitioner Profile > Charts, the staff member can review all of their charts.

To update the chart visibility setting as a group, first click Filter/Export. From here, narrow down the charts using the filter or search bar.

Once you have the specific charts selected click the three dots next to the number of charts and click Update Privacy.

On the next screen, confirm the details, select the new chart visibility setting and click Yes, update!

Jane may take a minute or two to update all your charts.

Additional Notes from Jane:

  • The changes are recorded in the Activity Log Report for Account Owners
  • To update an inactive staff member’s charts, we recommend for the Account Owner to reach out to the support team.
